This policy explains how we (Principal Optical Glazing Ltd trading as POG Frames) handle your personal data under UK GDPR and the Data Protection Act 2018.

1) Who we are

POG Frames is operated by Principal Optical Glazing Ltd (“we”, “us”). We are the data controller for purchases made on pogframes.com and for enquiries sent to our support team.

2) What we collect

  • Contact details: name, email, delivery address, phone (if provided).
  • Order details: items added to basket, purchase history, order notes.
  • Prescription data: values you enter or files you upload for glazing.
  • Device & usage: basic technical data (browser, device type, IP), pages viewed, and actions like add-to-basket. We do not sell personal data.
  • Support messages: emails and form submissions.
  • Payment metadata: payment status/IDs from providers. We do not store or process your full card details on our servers.

3) Why we use it (lawful bases)

  • Contract: to take payment, make and ship your order, provide customer service.
  • Legitimate interests: to prevent fraud, keep our services secure, understand product performance, and improve UX.
  • Consent: for optional marketing, and where you choose to upload prescription data.
  • Legal obligation: to keep records required by tax and consumer laws.

4) Payments

We use trusted payment providers to process transactions securely:

  • Stripe (cards, wallets). Card details are sent directly to Stripe; we receive a token/ID and status (success/failed/refunded). We don’t store full card numbers.
  • PayPal. You may pay via your PayPal account; we receive a transaction ID and payment status.

These providers act as independent data controllers for your payment data. See their privacy notices for details. We keep a link between your order and the payment reference for accounting, fraud prevention and refunds.

5) Cookies

Essential

  • Basket: stores your cart items so they persist across pages.
  • Checkout: keeps your session and payment state while paying.
  • Security: helps detect abuse and ensure availability.

Optional

If we enable analytics, we use it to measure page performance and improve navigation. We do not use third-party advertising cookies.

6) How long we keep data

  • Orders & invoices: typically up to 6 years for accounting and warranty records.
  • Support emails: normally up to 24 months after resolution.
  • Prescription files/values: kept as part of your order record and for aftercare unless you ask us to delete them (subject to legal/insurance requirements).

7) Sharing & international transfers

We share data only with service providers who help us run POG Frames (e.g., payment processors, hosting, delivery and customer service tools). Where data is transferred outside the UK/EEA, we rely on appropriate safeguards such as Standard Contractual Clauses.

8) Your rights

Under UK GDPR you can:

  • Request access to your data
  • Ask for corrections to inaccurate data
  • Request deletion (where applicable)
  • Restrict or object to certain processing
  • Request a copy of your data (portability)
  • Withdraw consent at any time (for consent-based processing)
